Maintaining compliance within the insurance industry is becoming increasingly more difficult and continues to take more and more resources which can be a real cause for concern for today's brokers.
Comprehensive audits regularly highlight issues with paper filing systems and in order to maintain industry compliance masses of paperwork need to be referenced, filed and stored. In addition, there must be adequate security and a clearly recorded audit trail available in the event of a dispute, something which hasn't always been easy to demonstrate,until now.
The sheer amount of paperwork stored means it can be almost impossible to locate information such as an individual letter or policy in a timely fashion, yet this information should be readily available to the broker in order to handle client queries quickly and efficiently. Now, using the volume software, documents are easily accessible.
However, we learnt that many individuals actually like to see paper and have concerns that moving to a paperless environment could :-
- Mean a complete change to existing filing practice.
- Require a level of IT expertise they simply do not have.
As a result our software has been designed to enable the user to create an electronic filing structure which can exactly match their paper version yet still enable the user to move pages around, copy documents within the software, print directly in to the software from external applications, save any file format (e.g. word, excel, pdf, tiff, mp3, video, outlook, etc) ,or scan directly into the software, all without the need to be technically minded.
Documents can be “locked” or can be changed with full version control and nothing can be lost. Files can be copied on to external mediums (e.g. memory sticks, cd, dvd, laptops) and both password and date protected in order to provide portability both in respect to client visits, or sending documents to any external compliance support service. However, stringent security measures ensure that controlled access and client confidentiality is always maintained.
